QuoteWise helps freelancers and clients price projects. This page explains what we collect, why, who sees it, and what you can control. It is written to be read. If something is unclear, write to [your contact email].
The service is run by [Your name or company] ("we"). The short version: we keep your chats private to you, we do not sell data, and we use your quotes in a shared pool of statistics only if you switch that on.
What we collect
- Your Google account details. When you sign in with Google we receive your name, email address and profile picture, and an account ID. Sign-in is handled by Supabase Auth.
- Your chats and quotes. The messages you write, the replies, the quote breakdowns, the title of each chat, and whether you chose the freelancer or client role. If you attach a PDF or a text file we save the text we extract from it with your message. Images you attach are used for that request only and are not saved.
- Your profile details. When you first sign in we ask a few questions: whether you mainly use QuoteWise as a freelancer or a client, your country, the kind of work you price or hire for, and (for freelancers) your experience level. We may also ask, optionally, for your preferred currency, the name to show on your quotes, and how you heard about us. You can change these any time under Settings, Profile. If we later need another detail to keep estimates accurate, we will ask for just that one.
- Your choices. Whether you share anonymous summaries (see below), and when you made that choice.
- Technical data. Our host receives standard request information such as IP address and browser type. Our server error logs may include technical error messages from the AI provider you chose. They do not include your API key or the text of your messages.
We do not use advertising trackers or advertising cookies. We do not sell your data. The only analytics we run are described under "Usage statistics and feedback" below.
What stays in your browser
- Your AI model settings and API key are saved in your browser's local storage. We do not save your key on our servers. Each request is sent through our server so it can reach your provider, and the key is used for that request and then discarded.
- Your last-used role (freelancer or client) and your sign-in session are also kept in your browser.
Usage statistics and feedback
We measure three things so we can fix what is confusing or broken.
- Page views. Cookie-free visit counts from Vercel Web Analytics. It does not build a profile of you and does not follow you across other sites.
- Anonymous usage events. When something happens, such as a quote being created, a price being checked, a quote link being shared, a rate limit being hit or a key being moved to the next one, we record the event name and a few coarse facts: your role, the type of work, the currency, the number of line items, whether market data was live, and the AI provider and model type. These events carry no account ID, name, email, chat text, file content or amounts, so we cannot tell who they came from.
- Feedback you give. After a quote or a price check we may ask whether it was useful. If you answer, we store your thumbs up or down, the reasons you pick, any comment you write, and the same coarse facts as above. Feedback is saved with your account ID so you can have it deleted, and it is removed if your account is deleted. Never put sensitive details in a comment.
You can turn off the usage events and page counts under Settings, Account. We also switch them off automatically if your browser sends Do Not Track or Global Privacy Control. Feedback is always your choice: the question can be dismissed and is never required.
How we use your information
- To run the service: sign you in, save your chats, and show them back to you on any device.
- To personalise: your profile details set your defaults, such as your side of the table, currency, and the name on your quotes.
- To get a reply: we send your messages and any extracted file text, or an image you attached, to the AI provider you chose in settings. We also tell it your country, experience level, usual type of work and preferred currency so it does not have to ask again. We do not send your name, business name or email.
- To let you share a quote: if you turn on a share link, anyone who has the link can view that one quote.
- To provide the optional community benchmarks, only if you opt in.
Your AI provider
You bring your own AI model and key. What you send to that provider is covered by the provider's own terms and privacy policy (for example Anthropic, OpenAI, Google, OpenRouter or Groq), not by this one. We do not control what they do with it. Check their policy, especially before attaching client documents.
Community benchmarks (optional)
QuoteWise can show you how a quote compares with other quotes made in QuoteWise. This is built from summaries that users choose to share. It is off by default. We ask you once, and you can change your mind at any time.
What a shared summary contains
- The type of work (for example web development), from a fixed list
- The country of the freelancer's market, and an experience level (junior, mid, senior or unknown)
- Your blended hourly rate, total hours, total price and timeline in weeks, and the currency
- Whether the quote was made as a freelancer or as a client
What it never contains
- Your name, email or account details
- Your project description, your messages, your uploaded files, or the names of any client or freelancer
How other people see it
- Only group statistics are shown (the median, the range of the middle half and of the middle 80%, and your position within the group). Nobody can browse individual summaries.
- Community prices are for people who share. You can see the comparisons only after you have shared your own summaries for at least 30 days, counted from when you turned sharing on. Turning it off and on again restarts the count. We do this so the data stays a fair exchange and to stop people switching sharing on only to look. Everything else in QuoteWise works the same whether or not you share.
- A comparison is shown only when at least 5 similar quotes exist. If a group is too small we widen it (for example to any country), and if it is still too small we show nothing.
- Figures are rounded, and money in different currencies is compared using fixed, approximate exchange rates, so treat them as a guide.
What it is not
These are prices from quotes made in QuoteWise, not verified payments or invoices that were paid. People can enter any numbers. We reduce the effect of unusual values by using medians and ranges, but we cannot guarantee the data is accurate.
How it is stored
Each summary is stored against your account so that we can delete it when you ask. It is never shown with your identity. Because of that link it is pseudonymous in our database, and anonymous in what other users see.
Your control
- Opt in or out any time from "Community data" in the app. Turning it on includes quotes you have already made. Turning it off deletes your contributions straight away, and the statistics other people see stop including them.
- Deleting a chat deletes the summary made from it.
- Your basis for this is your consent, which you can withdraw as above. Withdrawing removes your access to community prices but does not affect anything else in the app.
Where your data is stored
Your account, profile details and chats are stored in a Supabase project hosted in Mumbai, India (AWS ap-south-1). The website is served by Vercel. These providers process data on our behalf. Your messages also go to the AI provider you choose, which may be in another country.
How long we keep it
- Chats and quotes: until you delete them or ask us to delete your account.
- Usage events: kept in aggregate form for product decisions, with no way to link them to a person. Feedback: until you or we delete it, or your account is deleted.
- Community summaries: until you opt out, delete the chat, or delete your account.
- Hosting and error logs: kept for a short period by our providers for security and debugging.
Your rights
You can ask to see, correct or delete the personal data we hold about you, to receive a copy, to withdraw your consent, or to delete your account entirely. Write to [your contact email] and we will respond within a reasonable time. You can delete individual chats yourself in the app. Depending on where you live you may also have the right to complain to your data protection authority.
Children
QuoteWise is not meant for people under 18, and we do not knowingly collect their data.
Security
Access to your chats is restricted to your account in the database itself, connections use HTTPS, and shared links expose only the single quote you chose. No system is perfectly secure, so please do not put information into a chat that you would not be willing to send to your AI provider.
Changes to this policy
If we change how community benchmarks work in a way that affects what is shared, we will ask you for your choice again. Other changes will be reflected in the date at the top of this page.
